Theatre Exile is a nonprofit theater company dedicated to enhancing the cultural experiences of all Philadelphians through the staging of works that engage the imagination. We have a small team of dedicated individuals who work together to produce high-level theatre. We produce challenging plays that explore the complexities of the human condition and contain a sense of true Philadelphia grit and passion. We are constantly striving to reach out to new theater audiences throughout the community by presenting both new works as well as established plays that are often reinterpreted in original ways. Production and Facilities Manager 

Theatre Exile is seeking a Production and Facilities Manager for the company’s theatrical productions and events; oversight of the operation and maintenance of our facility; and stewardship of our rental program. The PFM reports to the Producing Artistic Director and works closely with the General  Manager. 

Duties and Responsibilities: 

Productions/Events 

The PFM is responsible for overseeing and managing all technical and production needs for Theatre  Exile’s subscription series and Out of Exile productions; Studio X-hibition New Play Development and education program presentations; and fundraising and related programming events.  Responsibilities include: 

  • Supervise all crew calls 

  • Hire crew for productions prioritizing Theatre Exile’s goal of diversity and inclusion

  • Oversee all aspects of production including design, build, load-in, load-out, light hang, costume  fittings and maintenance, venue preparation, and sound installation 

  • Work with the Producing Artistic Director, and General Manager, and Operations Consultant to create contracts for  designers, and production staff

  • Coordinate production schedules to maximize efficiency at work calls and balance workload

  • Create and maintain show-specific production calendars detailing load-ins, technical rehearsals,  and load-outs. 

  • Create contact sheet for all productions

  • Provide timely and accurate production staff information to our external relations team including, but not limited to: name and job title

  • Coordinate conduct regular production meetings and disseminate information to the production team as necessary 

  • Restore space to its standard set up after each production including, but not limited to: returning lights to rep plot, equipment and materials inventory, and  costumes and props to storage

  • Schedule theater maintenance and monitor and maintain equipment and materials inventory.

  • Maintain accurate files of set designs, light designs, technical riders, and sound designs for all productions 

  • Work with the Producing Artistic Director to draft production budgets

  • Purchase/rent equipment and materials as necessary  

  • Monitor expenses and stay within production budget by meeting all needs or find solutions  within the budget given

  • Maintain a safe workplace and ensure that safety rules are followed in the theater. 

  • Manage all theatrical equipment inventory and maintain organized storage of equipment

  • Perform other related production work as required

  • Work with Theatre Exile’s Director of Individual Giving in planning logistics for fundraising and related programming events

  • Provide production support for fundraising and related events

  • Provide onsite production support for fundraising and related events

Facilities Management 

The PFM is responsible for overseeing the operation and maintenance of Theatre Exile’s facility and its rental program.  Responsibilities include: 

  • Work with Producing Artistic Director to establish a standard theater configuration to restore to at the end of each production and rental including, but not limited to: rep plot, riser configuration, equipment and materials inventory, organization, and storage 

  •  Monitor our facilities major systems (i.e., HVAC, elevator) and oversee repairs and maintenance of Theatre Exile’s space

  • Liaison with Theatre Exile’s Landlord and vendors regarding major systems and repairs and maintenance of Theatre Exile’s space as appropriate

  • Conduct tours of Theatre Exile’s space for potential rental clients 

  • Arrange production support for rental clients

  • Liaison with rental clients regarding production needs

  • Maintain a global calendar of all activity in the building 

  • Work with General Manager to generate quotes and finalize terms, fees, and costs for rental contracts 

  • Complete and maintain rental event info sheets 

  • Manages rental staffing needs, ensuring all rentals have appropriate Exile reps scheduled

Qualifications & Requirements:  

  • A strong working knowledge of all aspects of theatre production and technical requirements 

  • The ability to communicate clearly and interact effectively with artistic and production staff and vendors

  • Strong organizational and leadership skills

  • Ability to match personnel with job requirements 

  • Ability to manage multiple projects concurrently; establish priorities; and respond positively, effectively, and quickly to frequently shifting priorities and needs

  • Keen attention to detail and ability to coordinate and clearly disseminate information to the company 

  • Strong communication, organization, time management, and collaborative skills

  • Ability to creatively solve problems 

  • Strong computer skills

  • Familiarity with design tools such as QLab and Vectorworks a plus.

Minimum 3 years in Production or equivalent experience

Compensation: 

∙ Salary: $38,000 

∙ Health and leave benefits package 

∙ This is a full time, exempt position
